Tutorio is a CRM platform built specifically for private tutors and small online schools. It replaces Excel, notebooks and messengers, bringing your lesson schedule, student records, payment tracking and analytics into one tool.
The platform is aimed at private tutors running anywhere from 3 to 50+ students who want to put their working day in order. It suits teachers of every subject: maths, foreign languages, music, programming and more.
Tutorio is a web application, fully adapted for mobile. You can use it from a phone or a tablet through the browser, with no app to install.
Tutorio is available in Ukrainian and English — you can switch language at any time, and your choice is remembered.
Yes. Tutorio is online software for tutors that runs straight in the browser and on a phone: there are no apps to install. Student records, scheduling, payments and analytics are gathered in one app you can reach from any device.
Yes. We built Tutorio primarily for private tutors, but it works just as well for any teacher or lecturer running lessons privately: student records, scheduling and payments work the same, whatever you call your work.
Tutorio is a web application: it opens in the browser on a computer and a phone, so there is no separate app to install and nothing to update. In practice it is the same as an app for tutors — student records, scheduling and payments — except it is always the current version and reachable from any device.
Signing up and getting started
Press “Start for free” on the home page, enter your name, email and a password — and you are in within 30 seconds.
No, signing up needs no card. The free plan covers up to 3 students — you sign up and start working. A card is only needed if you decide to move to Pro.
You land in the system straight after signing up and can add your first student, create a lesson package and schedule a lesson — all in a few minutes.
There is no automatic migration tool at the moment, but Tutorio’s interface is very straightforward — most tutors move their data by hand within a few hours.
What the platform does
Each student has their own profile: contact details, linked parents, active lesson packages, their schedule and notes. You see the whole picture for each student on one screen.
A lesson package is a set of lessons the student pays for up front or on credit. You set the number of lessons, the price and the start date. The system tracks the balance and tells you when the package is running out.
In the “Progress” section you can leave notes after each lesson, record achievements and give marks. Everything is kept in order of date and easy to look through.
In the calendar you plan one-off and recurring lessons. The system shows everything by week or by month, and warns you about clashes in the schedule.
Yes. Tutorio has a notification centre that reminds you about scheduled lessons, tells you about overdue payments and flags anything else that needs attention.
Yes, Tutorio supports group lessons. You create a group, add students and schedule group lessons just as you would one-to-one ones.
The lead pipeline is a separate board where you take prospective clients from first contact to payment. A lead moves through the stages: new, contacted, trial scheduled, trial done, converted or lost. You see your conversion rate, potential income and how many trials are booked, and a won lead becomes a student in one click.
You send the student a personal link — opening it in Telegram switches their reminders on. From then on the bot messages them 24 hours and 1 hour before each lesson, adding your meeting link before the lesson if you have set one. Reminders work for one-to-one and group lessons alike, and if a lesson moves, the student is told the new date.
Yes. Tutorio replaces a paper or Excel register: for each student it keeps attendance, lessons taught and cancelled, homework, progress notes and payments. It is effectively a digital register where everything is connected rather than scattered across separate spreadsheets.
Yes, that is what online booking is for. You switch it on, set your working hours and send a link — the person opens it with no sign-up and no portal account and picks a free time. Only genuinely free slots are shown: lessons already scheduled are subtracted from your working hours, and, if you like, busy times in your Google Calendar too. A public link (for new clients) creates a lead with a trial lesson, free or paid; a personal link for one of your students creates ordinary lessons in the schedule straight away.
Pricing and plans
Yes, there is a free plan — up to 3 students, forever and with no card. If you have more students there is Pro: ₴499/month or ₴4,990/year for unlimited students. Cancel any time; your data always stays available.
Numbers: up to 3 students (whatever their status — only archived ones don’t count) and one group, plus less storage for materials. The finance journal — other income and expenses — is on Pro. Everything else works the same on both plans: schedule, payments, packages, Telegram reminders, leads, analytics, the student and parent portal.
You won’t be able to add a new student over the limit — the system will offer Pro. And if Pro has ended while you already have more than three students, all your data stays where it is and can be viewed, but you can’t create new lessons, packages or invoices, and recurring lessons stop being added to the schedule by themselves — until you archive the extra ones or bring Pro back. Archiving deletes nothing: history and statistics are kept.
Unlimited students and groups, the finance journal (other income, expenses and net income for the month), more storage for materials and homework, and priority support. Everything on the free plan is in Pro too.
Yes, forever and with no card. If you have up to 3 students and one group, the free plan is all you need for everyday work.
You pay by card through WayForPay, and the subscription renews automatically every month or every year. You can turn off auto-renewal at any time on the “Subscription” page — Pro stays until the end of the period you’ve paid for. If you got Pro as a bonus or through a promo code and haven’t added a card, nothing is charged: a few days before the end we’ll remind you by email, and then the account moves to the free plan.
Security and data
Yes. We use HTTPS to encrypt traffic, passwords are stored hashed, and the data sits on secured servers. Tutorio complies with Ukrainian personal data protection law.
Only you. Your students’ data is yours alone and is not passed on, sold or used by third parties. The Tutorio team only looks at data to fix a technical problem at your request.
Automatic export to CSV/Excel is in development. If you need your data urgently, contact our support.
When you delete your account, all your data (profile, students, lessons, packages) is removed from our servers in line with the Privacy Policy. The process cannot be undone.
Support and help
The fastest way is the “Support” button right in the app: you write to us in the chat and see the reply in the same place, without leaving your workspace. The same button is in your students’ and parents’ portal, so questions about the app come to us rather than to you. You can also write to the Telegram channel @tutorio_crm or to support@tutorio.net. We reply within the working day.
We are actively building a knowledge base. Practical advice and real scenarios are published on the Tutorio blog. Fuller documentation is coming soon.
Right in the app: press “Support” — there is a chat for questions and a separate “Feedback” tab for ideas and bug reports. You can also write on Telegram or by email — we read every message carefully. Your bug reports and ideas directly shape what we build next.
At the moment one account is for one tutor. Support for several teachers on one account is planned as part of the future paid plan.
